1. Our Role

Moon & Map Travel Co. is an independent travel advisor working with licensed tour operators, cruise lines, resorts, and other travel providers (“Suppliers”). We act solely as an intermediary between you and the Supplier. We do not own or operate any third-party travel services.

2. Booking and Payment

  • A non-refundable planning or service fee may apply depending on the complexity of your itinerary. This will always be discussed and agreed upon before work begins.

  • All bookings are subject to availability and Supplier policies.

  • Payment terms, deposits, and due dates vary by Supplier and will be clearly communicated.

  • Final payment must be received by the due date to avoid cancellation and potential loss of deposits.

3. Cancellations & Changes

  • Supplier policies govern cancellation penalties, change fees, and refund eligibility.

  • We will assist with changes or cancellations to the best of our ability but are bound by Supplier terms.

  • Our service fees are non-refundable, even in the event of cancellation.

  • Travel insurance is strongly recommended to protect against unforeseen circumstances.

4. Travel Insurance

We strongly encourage purchasing travel insurance. It can cover trip interruption, medical emergencies, lost baggage, and more. Declining insurance means accepting full financial risk for any potential losses.

5. Passports, Visas & Travel Documents

  • You are responsible for ensuring that all travelers have valid passports, visas, and other required documents.

  • We can provide guidance but are not liable for denied boarding, fines, or disruptions caused by incomplete or incorrect documentation.

6. Health & Safety Requirements

  • You are responsible for understanding entry requirements, health protocols, vaccinations, and COVID-19 rules for each destination.

  • We are not responsible for changes in government regulations or refusal of entry.

7. Responsibility and Liability

  • We are not liable for acts, errors, omissions, or negligence of any Supplier or third party.

  • We are not responsible for personal injury, property damage, delays, cancellations, or any loss due to war, weather, strikes, epidemics, force majeure, or other events beyond our control.

8. Force Majeure

We are not responsible for any failure or delay in performance resulting from causes beyond our control, including but not limited to acts of nature, strikes, travel restrictions, pandemics, or supplier disruptions.

9. Changes to Itinerary

We reserve the right to make adjustments to your travel plans if circumstances require. You will be notified of any major changes and offered alternatives when possible.

10. Client Responsibility

You agree to:

  • Provide accurate information during the planning process

  • Read all documents and terms before confirming travel

  • Make timely payments

  • Be respectful toward all parties involved in your travel experience

11. Fees and Charges

  • All planning fees will be disclosed prior to services being rendered.

  • Additional charges may apply for changes after itinerary confirmation.

12. Privacy Policy

Your personal information is kept confidential and only shared with Suppliers as needed to complete your bookings. For more details, please refer to our Privacy Policy.

13. Dispute Resolution

In the unlikely event of a dispute, both parties agree to seek resolution through mediation before pursuing legal action. This agreement is governed by the laws of the state of Massachusetts.
